Creating Roles and Granting to Users in Oracle Order Management – Shipping Execution


Roles and Grants to Users

Shipping Execution provides data access controls called roles that control users' access to the Actions list and Tools menu in the Shipping Transactions form and the Quick Ship window. Roles also control ship confirm error and warning messages for breaking ship sets, missing inventory controls, and breaking proportionality of ship model complete. Roles are assigned to users using grants that control access to view or edit specific shipping data or actions.

After you have defined a role you can assign it to a user through a grant. A grant defines both the user's role and related information about the grant including the date, and the organization(s) to which the grant applies.

Defining a New Role

Shipping Execution enables you to define new roles by selecting the data access controls that you want. You can define a new role by:
  • Copying an existing role: An existing role can be copied to create a new role. The copied role has the same data access privileges of the original, but if desired, these privileges can be edited for the new role. Save the new role with a different name than the original.
  • Manually defining a new role: You can create a new role in the Shipping Execution Role Definition window by selecting the data access controls to trips, stops, lines, and deliveries. Save the new role with a unique name.
To define a new role:
  1. Navigate to the Shipping Execution Role Definition window.

  1. Enter the Name of the role.
  2. Enter a Description for the role.
  3. In the Trips tab, in the Data Access field, select:
    • Edit to provide edit access for the trip records
      • View to provide view-only access for the trip records
      • None to disable access and actions
  4. Enable each action that you want the user to have permission to perform.
  1. Select the Stops tab.

      • None to provide no access to the stop records
  2. Enable each action that you want the user to have permission to perform.

Note: The delivery records also include delivery legs and packing slips.
  1. Enable each action that you want the user to have permission to perform.

The Message tab enables you to configure ship confirm messages for Breaking Proportionality of Ship Model Complete, Breaking Ship Sets, and Missing Inventory Controls.


  1. From the Activity list of values, select Ship Confirm.
  2. For each Message, select either Error or Warning depending on your business needs.
Note: The System Defaults are Warning for each Message.
  1. Save your work.

Granting a Role to a User

You can grant a user a role in one organization or all organizations for a period of time. The role is assigned to a user by a grant. The grant is specific to a particular user and defines the role(s) assigned to the user, the organization where the grant is effective, the start date and optionally, an end date.

In addition, the grant has the following requirements:



·         A grant may or may not have one inventory organization selected.
·         Many grants can be assigned for each role.
·         A user can have one or more grants. If the user does not have any grant (expired, effective, or future), the default is view-only access to all organizations. If the user has grants, the user's access is controlled by the effective grants. If there are overlapping grants in the same organization or an intersection of grant date ranges, the union of grant privileges controls the user's access.
·         A grant cannot be designated as the default grant.

A role can be assigned to a user that spans all organizations instead of granting a unique grant per organization. If an organization is not specified, the grant is applicable to all organizations.

Warehouse Organization


A grant can have one or all inventory organizations. If an organization is not specified, the grant is applicable to all organizations.


For example, you can use grants to prevent a shipping clerk from assigning freight costs or planning a delivery in one or all organizations.


To grant a role to a user:


1.    Navigate to the Shipping Execution Grants window.
Navigation: Oracle Order Management > Setup > Shipping > Grants and Role Definitions > Grants

2.    In the User field, select the user's name.
3.    In the Role field, select the role that you want assigned to the user.
Note: To view the available privileges for a selected role, click Edit Role to display the Shipping Execution Role Definition window.
4.    In the Org field, select the organization to which the grant is assigned (optional). A user can be assigned only role per warehouse (organization). However, you can assign a different role to a different warehouse.
5.    In the Start Date field, enter the date that you want the role to start.
6.    In the End Date field, enter the date that you want the role to end. If you do not want the role to end, leave the field blank.
Once the grant is saved, only the end date can be updated. However, the date cannot be updated once it has expired.
7.    Save your work to activate the role.

Oracle Order Management - Related Items

Related Items in Oracle Order Management

The intent of the new Related Items window is to increase sales and prevent lost sales due to out of stock situations. The user now has an additional sales tool to assist with supercessions, up-selling, and cross-selling. Any ordered item can have relationships defined to many other items. These item relationships are defined within Oracle Inventory. 

A new Related Items window has been added to order entry showing the user these other items and their relationships to the ordered item. This feature in Order Management enables the user to perform functions such as:

  • Up-selling: Allows the user to suggest a better item to a customer who is placing an order.
  • Supercession: This occurs when a product is replaced (superseded) by another product.
  • Cross-selling: Allows the user to suggest additional items to a customer who is placing an order.
Usability features included in this release include:
  • The ability to optionally show Selling Price and Availability for Related Items.
  • The ability to view the Original Ordered Item and the Relationship Type used on sales order line.
  • Notification of the existence of related items by a color change on the ordered item and a message hint.
  • The ability to have the Related Items window open automatically if desired.

Overview of Related Items:

Up-selling:
The idea is to propose to the customer that they order a larger model or a more deluxe version of the product. If the up-sell item is then selected, it replaces the item that was originally entered on the order line.
Up-selling is the capability to suggest a better item to a customer who is placing an order. Fast food restaurants use up-sell all the time. If you order a meal combination with medium fries and a medium drink, they ask if you would like to “Super Size” it. This is an example of up-selling – they want to replace your order for medium fries and drink with extra large fries and drink.

Supercession:
For both substitutions and supersessions, the related item would replace the item that was originally entered on the order line.
To prevent lost sales in out of stock situations, the user may establish relationship types for substitutes and supercessions.

Note: Only one replacement item can be selected from the Related Items window. If the user checks the box for a second replacement item the previously selected replacement item's check will be removed.

Cross-selling:
When cross-sell items are selected, they are added as additional lines on the sales order. Cross-selling is the capability to suggest additional items to a customer who is placing an order. Fast food restaurants use cross-sell all the time. When you order a hamburger, the salesperson asks if you would like to add fries and a drink to your order. This is a classic example of cross-selling additional items.

To support these new features, three new Profile Options have been added to Order Management.

First profile option OM: Enable Related Items and Manual Substitutions is used to turn this new feature on or off. The default value is No. To use this feature, you must set it to Yes.

Second profile option, OM: Automatically open Related Items Window, you can choose to have the Related Items window open automatically when you navigate out of the quantity field if the item entered on the sales order line has item relationships defined for it. The default value is No.
If you do not choose to have the window open automatically, there will still be a hint on that order line stating that related items exist for the ordered item along with the color change of the Ordered Item. You can then click Related Items to open the Related Items window on the Sales Orders window.
In the Quick Sales Orders window, the display of Related Items is in the lower part of the screen.

Third profile, OM: View Pricing/Availability Information in Related Items, enables you to select the amount of detail seen in the Related Items window. Your choices are:
  • Pricing
  • Availability
  • Pricing and Availability
  • None

In-order to define the Item Relationship, define the item in Item master





UP-SELL Functionality:

For Item Relationship:
Inventory > Items > Item Relationships > Click New and define the details as below:


Define the items in price list


Create the sales order for base item


Click on Related Items Tab & select the upsell Item


Now new upsell item will be updated in the sales in-place of base item.


Cross Sell Functionality:

For Item Relationship:
Inventory > Items > Item Relationships > Click New and define the details as below:


Create the sales order for base item & Click on Related Items Tab & select the Cross Sell Item


Now both base item & new cross sell item will be updated in the sales in-place of base item. Customer will now have a choice of selecting any one or both the items.



Supercession Functionality

For Item Relationship:
Inventory > Items > Item Relationships > Click New and define the details as below:



Create the sales order for base item



Click on Related Items Tab & select the Supersession Item


Now the supersession item will be updated in the sales in-place of base item.
  


How to setup a Workday Calendar in Oracle Inventory

How to setup a Workday Calendar in Oracle Inventory

The Purpose of defining Workday calendar are:

1. To define working & leave days for an organization
2. Can be customized as per the requirements
3. To define shift timings of an organization
4. To define Workday Pattern

Setup steps to define a Workday calendar in Organization
Navigation: Oracle Inventory > Setup > Organization > Calendars

Create a new Workday calendar. Quarterly Type can be defined as “4/4/5 Week Pattern”. It means First Month have 4 weeks, Second Month have 4 weeks and Third Month have 5 weeks. Calendar date range - start & end date of an organization.

  
Click on Workday Pattern to define the workday details
  
To consider Monday to Friday as working days, define the Workday Patterns as below:



Save and Close the Workday Pattern form and click on Dates Tab to view the newly created Workday Calendar.
Days Marked in Grey are off and Marked in Black are Working days.


To define shifts:
Shifts are defined working hours of an organization. In workday calendar form, Click Shifts Button. Define the Shift number and description with working hours.


Please note that 10:30 AM to 10:45 AM is not defined, it will be considered as break timings & no activity like order booking can be done in this duration. Similarly other shifts can be defined.




 
  
Defining Work Off / Holidays (Exceptions):
Work Off Days / Holidays can be defined in 3 methods:
1. Defining on calendars
2. Defining in exception list form
3. Load from Exception Template

1. Defining on Calendar:
To define any Work Off / holiday then just click the day in calendar. Once clicking the day the day colour changes as grey (Same as predefined leaves). For example to define 4th June as Work Off / holiday then just click on that day in the calendar.


If 09th June (Saturday) as working day, then just click on that day in the calendar, now the colour will change as black (same as predefined working days).



2. Defining in exception list form:
To define any Work Off / holiday then Click on Calendar Dates & enter the exception dates.




3. Load from Exception Template:
Navigate to Tools > Exception Template
Define the Exception Name and dates and click Exception List > Load > Template Name > OK




  
Workday calendar should be Build, whenever a calendar is defined and any alterations done the calendar.

Once the concurrent is completed successfully and following will be in the report output:




After defining the Workday Calendar, the calendar to be attached to the organization in the organization parameter.
